Emailing a report to a client

Business accounts can send a finished property report to one client from your account — not only when you first order it. This page covers how to do that, what the email looks like, and the limits we keep in place so the tool stays for real client work rather than bulk mail.

This is a business feature. It unlocks with a business pack. Standard accounts can still download and share a link; they do not get the agency contact list or send-from-account tools.

Create an account, then buy a business pack to use client email.

Two ways to get a report to someone

  1. When you create the report. On the confirm page, enter the client’s name and email. We send them the PDF and an online link when it is ready. Leave both blank if you only want it in your vault for now.
  2. Later, from your account. Add them to your contact list, pick a finished report, and send. Use this when you already have the report, or you want to send the same pack to a different person.

You can also share the online link or QR code from the vault without sending email at all.

How to send from your account

  1. Add the person on Contact list (first name and email; last name is optional).
  2. Make sure the report has finished generating. You will see it in the report vault.
  3. Go to Send property report, or use Send from the vault row for that address.
  4. Choose one contact and one finished report. You can add a short personal note if you like.
  5. Send. A PDF of that report is always attached, plus a link to view it online. Without a selected report, the email will not send.

The message is sent as you, via your agency name. Replies come back to your own email, not to a shared inbox on this site.

What the client sees

Limits (please read these)

Limit What it means in practice
One person at a time No bulk send, mailing lists, CC or BCC. Send again if a second person needs the same report.
A finished report must be attached Every property-report email includes the PDF. If you have not selected a finished report, Send stays blocked and the message will not go. You cannot send a blank “hello” or a marketing email from this tool.
Contacts belong to your agency Your team shares one contact list. Unsubscribes apply to this agency only, not to other firms.
They can unsubscribe If they do, you cannot email them a report until they opt back in. You also cannot add that address again as a new contact.
Opt-in requests From the unsubscribed list you can send a one-off request asking them to opt in. You can send that request once in 24 hours.
“Accepted” is not “opened” Sent emails shows that our mail service accepted the message. We do not get a receipt that it landed in the inbox or was opened. There are no read receipts.
Not for marketing blasts Use this to send a property report to a client you are working with. Do not use it as a newsletter tool.

Sent emails

Sent emails keeps a short record: when it went, who it was to, the subject, the attached report PDF, and whether the mail service accepted it. Property-report emails always include that PDF — it is not optional. Unsubscribe links are never stored there.

The only emails without a report are opt-in requests from the unsubscribed list (asking someone to allow emails again). Those are a separate permission message, not a property pack.

If a send fails, nothing is treated as delivered — try again shortly, and check the address on the contact list.
